This is a 6-month Fixed Term Contract & hybrid role, you will be expected to attend quarterly Property Cascades in London, with the rest of your time working from home.

Joining our team as a Supplier Payment Coordinator means becoming an integral part of a dynamic and forward-thinking team that values integrity, collaboration, and continuous improvement. In this role, you will have the opportunity to work closely with FM contractors, finance teams, and internal stakeholders to ensure accurate and compliant payment processes, contributing to the overall success of our business. With a focus on data accuracy, stakeholder engagement, and proactive problem-solving, you will play a key role in driving operational excellence and efficiency.

What you'll do

You will validate and challenge invoices submitted by FM contractors, ensuring accurate payments in alignment with contractual agreements and periodic reporting. Your responsibilities will involve collaborating with suppliers, the FM team, and delivery managers to promptly resolve invoice queries, identifying and addressing supplier trends related to incorrect charges, and supporting amendments or changes to approved estimates and invoices within the wider FM team. Additionally, you will produce periodic reporting across various FM processes, maintain Argos contractual flat files, and review PAYG payments to suppliers to ensure accuracy and compliance with contractual terms, all while making informed decisions on approving or rejecting contractor PAYG invoices and issuing appropriate communication responses.

Who you are

You are a detail-oriented professional with a strong analytical mindset and excellent communication skills. With proficiency in Excel and data manipulation, along with a keen understanding of commercial activities and their downstream impact, you play a critical role in ensuring the accuracy and alignment of supplier payments with contractual agreements. Your ability to engage stakeholders at all levels, balance competing priorities, and maintain integrity and confidentiality demonstrates your commitment to delivering high-quality results in a fast-paced and pressurised environment.

Essential criteria: 

  • Understanding of FM / Commercial activity  
  • Proven ability to manipulate and analyse data using Excel
  • Capability to organise and prioritise workload independently
